Tools I use, recommend, and build with because they work, together.
There are thousands of platforms out there promising to streamline your business or save you time and I’m guilty of testing more than I care to count.
In no particular order, these are the ones I’ve chosen to build with, not because they’re popular, but because they genuinely deliver. I use each of these tools in real-world client systems, often integrating them so they work together as a seamless whole.

SmartSuite
SmartSuite combines project management, document handling, automation, and team collaboration into one clean system. It comes with ready-to-use templates, permissions, reporting tools, and form-based data collection that make building structured systems straightforward. If you want a central place to manage your business with less setup time, SmartSuite is an excellent option. I regularly use it to design systems that give my clients more clarity and control.
Airtable
Airtable gives you structure without limitation. It looks like a spreadsheet, but behaves like a database. I use it for project tracking, content planning, asset libraries, and client dashboards. It handles the behind-the-scenes work while staying easy to use. Everything from proposals to delivery tracking runs through Airtable in my business. When combined with tools like Make or Softr, it becomes a powerful command centre that scales with you.
Metricool
Metricool is a social media scheduler, analytics dashboard and reporting tool all rolled into one. It helps you plan content, compare performance across platforms, track audience behaviour, and create branded reports in a few clicks. It’s perfect if you manage multiple accounts, work across several platforms, or just want to know what’s working without digging through native app insights. I use it to schedule client posts, check engagement at a glance, and avoid the classic “what should I post today?” panic. If you need visibility without overwhelm, Metricool keeps things simple and smart.
folk
Folk is a refreshingly visual CRM that helps you stay on top of conversations, outreach and relationships across your business. It’s ideal for teams or individuals managing lots of people: from clients and collaborators to leads, journalists, or partners. You can group contacts, share views, tag people, and even send personalised email campaigns straight from the platform. It’s quick to learn, beautifully designed, and fits perfectly if you’re more people-focused than process-driven.

Make is the platform I use to connect the dots between all the tools you see on this page. It lets you build powerful automations that move data, trigger actions, and keep things running behind the scenes: all without needing to touch code. Whether it’s sending new form submissions into your CRM, updating an Airtable base, posting scheduled content, or syncing between platforms, Make helps your systems talk to each other properly. You can build as simply or as deeply as you like, and once it’s running, it just works. If you’re tired of doing the same task twice, Make is usually the fix.
ActiveCampaign
ActiveCampaign gives you the tools to segment your audience, build automations, and nurture leads properly. It combines powerful email features with a lightweight CRM and advanced tracking. If you’ve outgrown basic newsletters and want your marketing to feel more intentional, this is a solid step up. Ideal for service-based businesses and anyone juggling multiple client journeys.

Kit is ideal if you want good-looking emails, reliable automations, and a focus on building your list without getting lost in settings. It’s fast to set up, easy to maintain, and comes with intuitive tagging and landing page tools. If ActiveCampaign feels like overkill, Kit offers the essentials in a much calmer way.
Jotform
Jotform is my go-to for creating polished, user-friendly forms. Whether you’re collecting client briefs, onboarding information, booking requests or testimonials, it handles it with ease. It integrates beautifully with Airtable, SmartSuite and email marketing tools. That means submitted information lands exactly where it needs to go without any extra faff.
Softr
Softr takes a back-end database like Airtable and transforms it into a fully functional website or portal, no code required. I use it to build client-facing dashboards, member areas, resource libraries and internal tools. If you want to share data professionally without compromising security or style, Softr is the bridge between your systems and your audience.
CapsuleCRM
Capsule keeps your lead and client management clean and organised. It’s perfect for small teams or sole traders who need to track enquiries, follow-ups, deals and tasks without getting bogged down in admin. It has built-in pipelines, contact history tracking, and a lightweight integration with your email tools. If you prefer a classic CRM layout with stages and timelines, Capsule is a solid choice that’s easy to customise to your workflow.
